PROJECT OVERVIEW

Managing leads manually from capture to qualification, follow-ups, stock validation, and payment confirmation, often results in delays, missed opportunities, and lower conversion rates.

To solve this, we built AI LeadBot, a fully automated, multi-workflow sales automation system powered by n8n.

The system manages the complete customer journey: Lead capture, AI qualification, Intelligent conversation & scoring, Stock validation, Smart discount logic, Payment automation, Retention campaigns, Hot lead monitoring.

The goal was to eliminate manual follow-ups, prioritize high-intent leads automatically, and increase conversion rates through AI-driven automation.

THE SOLUTION ARCHITECTURE (HOW DOES IT WORK?)

We designed a multi-workflow automation system inside n8n integrating AI models, email automation, payment gateways, and database triggers.

How does it work?

Step 1: Lead Capture

  • Leads submit details via Google Forms
  • Information collected: Name, Phone, Email, Source, Industry, Message
  • Submission triggers Workflow 1

Step 2: AI Qualification

  • Lead data sent to AI model
  • AI classifies lead as:
  • Qualified
    Not Qualified

  • Qualified leads stored in Google Sheets
  • Workflow 2 triggered

Step 3: Initial Engagement

  • Automated “Thank You” email sent
  • System waits for customer reply

Step 4: AI Conversation & Lead Scoring

  • AI analyzes customer response
  • Generates:
  • Professional reply
    Lead Stage (Cold / Warm / Hot)
    Confidence Score (0–100%)

  • Updates Google Sheets with:
  • Lead Stage
    Confidence Score
    Last Interaction Time

Step 5: Quantity Collection & Stock Validation

  • Customer asked for required quantity
  • System checks stock database
  • If available:
  • Stock auto-reduced
    Workflow 3 triggered

  • If unavailable:
  • “Out of Stock” email sent

Step 6: Discount & Payment Automation

  • If Confidence Score > 75%:
  • Discount code generated
    Payment link created via integrated gateway
    Sent via email
    Sales team notified

  • System waits 24 hours:
  • If unpaid → Reminder email sent
    If paid → Workflow 4 triggered

Step 7: Payment Confirmation & Retention

  • Sheet updated with:
  • Discount Code
    Payment Status
    Payment Time

  • Confirmation email sent
  • Sales team notified
  • Retention Logic:
    If Paid → Festival Offer email
    If Not Paid → 10% Loyalty Discount email

Step 8: Daily Hot Lead Monitoring

  • Scheduled workflow runs daily
  • Checks:

    Last Interaction > 24 hours
    Payment Status ≠ Paid

  • If conditions match → Sales alert email sent for manual follow-up
